Circular 07-IARConf-2025
Registration Process for the 29th Interamerican Scout Conference
Dear friends in Scouting,
In this circular, we share information on key aspects to consider when registering participants for the 29th Interamerican Scout Conference, which will be held from October 30 to November 2, 2025, in Willemstad, Curaçao.
Step 1: Pre-registration Process - NSO Level
- Pre-registration must be completed per delegation using the following form: Click here to download.
- A letter of endorsement from the National Scout Organisation must be attached for all delegation members.
- Submit via email to [email protected] by the official NSO contact, preferably before June 30, 2025.
Step 2: Registration Process - Individual
After the delegation confirmation
Once the delegation from each National Scout Organisation has been confirmed, each participant will receive an individual email to complete:
- Personal details
- Payment information
- Arrival and departure details
- Dietary preferences
- Safe from Harm learning path for the Interamerican Scout Conference
- (Mandatory course, certificate will be required)
All NSOs are encouraged to carefully consider the composition of their delegation, ensuring it reflects the diversity of the Movement in their country in terms of gender, age, and cultural representation. Following the Conference Rules of Procedure, NSOs are also encouraged to ensure that at least one-third of their delegates are young people under the age of thirty (30) and that there is gender balance.
If you have any questions or need assistance during registration, contact Laura Delgado from the World Scout Bureau, Interamerica Support Centre, at [email protected].

Visa, Passport, and Vaccinations
Each delegation is responsible for verifying visa requirements to enter Curaçao. You can check this with your travel agency, transportation companies, or by visiting this website. We recommend that all participants check the validity of their passports and the necessary documentation in advance, as visa applications usually need to be submitted at least one month in advance.
If an invitation letter is required to process the entry visa(s) to Curaçao, it must be requested in advance by emailing [email protected], attaching a scanned image(s) of the passport(s).
Each delegation must also verify if any vaccinations are required to enter Curaçao. Visitors aged 9 months or older arriving from areas at risk of yellow fever must present a valid vaccination certificate.
Some exemptions exist for specific regions within high-risk countries; however, at border control points, the assessment is done at the country level, not by particular areas. We recommend reviewing this aspect in advance to avoid any inconveniences.
